1. Who We Are

2. What Data We Collect
When a member interacts with our WhatsApp bot, we may collect the following information:

We only collect data that the member voluntarily provides through conversation with the bot. We do not scrape, infer, or purchase any additional data.
3. How We Store Your Data
- Encryption at rest: All member data is encrypted using AES-256 encryption before being stored.
- Cloud infrastructure: Data is stored on Amazon Web Services (AWS) S3 with server-side encryption enabled.
- No plaintext storage: Sensitive data (phone numbers, email addresses, personal details) is never stored in plaintext in any database, log, or backup.
- Transport security: All data in transit is encrypted using TLS 1.3.
- Access controls: Data access requires multi-factor authentication and is logged.
4. Data Isolation Between Clubs
Each club's data is stored in a completely separate, isolated container. There is no data sharing, cross-referencing, or merging between chapters. Even if a person is a member of two different chapters using Chapter.Zone, their data is treated as two separate, independent profiles.
5. Who Can See What
We implement a three-tier visibility model:
- Public fields (name, photo, company, headline) — visible to all members in the chapter directory.
- Members-only fields (phone, email) — visible only to authenticated members of the same chapter.
- Admin-only fields (birthday, address, metadata) — visible only to designated chapter administrators.
Members can request to change the visibility level of their data at any time by messaging the bot.
6. Consent and Opt-Out
We practice explicit, informed consent:
- Members are clearly informed about the purpose of data collection before the survey begins.
- Members can type "stop" at any time to opt out of the survey.
- Members can type "delete" to request complete removal of their data.
- Opting out removes the member from the directory entirely.
- Admins are notified when a member opts out (but not the reason).
7. Data Deletion
Members can request deletion of their data at any time. Upon receiving a deletion request:
- All personal data is permanently deleted within 48 hours.
- Data is removed from all backups within 30 days.
- A confirmation is sent to the member via WhatsApp.
- Deleted data cannot be recovered.
8. Data Sharing
We do NOT sell, rent, trade, or share your data with any third party for marketing, advertising, or any commercial purpose. Ever.
Your data may only be shared in these limited circumstances:
- Within your chapter: With other members and admins according to the visibility rules described above.
- Service providers: With AWS (cloud hosting) and WhatsApp (messaging), who act as data processors under strict agreements.
- Legal requirements: If required by law, regulation, or valid legal process (e.g., court order).
9. Audit Logging
We maintain comprehensive audit logs of:
- All data access events (who viewed what, when)
- Data modification events (updates, deletions)
- Admin actions (exports, configuration changes)
- Bot interactions (messages sent, responses received)
Audit logs are retained for 12 months and are available to chapter administrators upon request.
10. DPDPA Compliance (India)
Chapter.Zone complies with India's Digital Personal Data Protection Act (DPDPA), 2023:
- Lawful purpose: Data is collected for the specific, stated purpose of building a chapter directory.
- Consent: Explicit consent is obtained before data collection.
- Data minimization: We collect only what is necessary for the directory.
- Storage limitation: Data is retained only as long as the chapter is active.
- Data principal rights: Members can access, correct, and delete their data.

11. International Data Considerations
While Chapter.Zone primarily operates in India, we follow GDPR-aligned best practices for all users:

12. Cookies and Tracking
The Chapter.Zone website does not use tracking cookies, analytics scripts, or any third-party trackers. We do not track your browsing behavior. The only data we collect is what you voluntarily share through the WhatsApp bot.
13. Children's Data
Chapter.Zone is designed for professional and social chapters with adult members. We do not knowingly collect data from individuals under the age of 18. If we learn that a minor's data has been collected, we will delete it immediately.
14. Data Breach Notification
In the unlikely event of a data breach:
- Affected chapter administrators will be notified within 72 hours.
- Affected members will be notified promptly.
- Relevant authorities will be informed as required by law.
- We will provide clear information about what data was affected and what steps to take.
15. Changes to This Policy
We may update this privacy policy from time to time. Significant changes will be communicated to chapter administrators via WhatsApp. The "Last Updated" date at the top of this page will always reflect the most recent revision.
